It does not need to be a 40-page legal document. For most small teams, the first version should fit on one page and answer a simple question: what can our team use AI for, and what is off limits?
The U.S. Chamber of Commerce reported that 58% of small businesses used generative AI in 2025, up from 40% in 2024. AI usage is already inside daily work. The policy is how you keep that usage useful, consistent, and safe.
Most AI risk in a small business does not start with a big technology project.
It starts when a staff member pastes a customer email into a free AI tool, asks for help drafting a reply, and sends the output without checking the details.
That may be harmless. It may also expose sensitive data, create a misleading promise, or send a message that does not sound like your business.

## Purpose
Our team may use approved AI tools to save time on drafting, summarizing, organizing, brainstorming, and routine admin work. AI supports our work, but people remain responsible for final decisions and customer-facing output.
## Approved Tools
Team members may use the following AI tools for work:

Do not use unapproved AI tools for company work without asking [Owner/Manager].
## Allowed Uses
AI may be used to help with:
- Drafting internal notes, outlines, and first drafts.
- Summarizing non-sensitive documents or meetings.
- Brainstorming ideas.
- Rewriting content for clarity.
- Creating templates, checklists, and SOP drafts.
- Preparing customer response drafts for human review.
## Restricted Data
Do not enter the following into AI tools unless [Owner/Manager] has approved the tool and workflow:
- Customer personal information.
- Employee information.
- Health, legal, financial, insurance, or payment details.
- Passwords, credentials, API keys, or account access.
- Confidential contracts, pricing exceptions, or private business records.
- Children's data.
- Anything marked confidential.
When possible, remove names, account numbers, addresses, and other identifying details before using examples.
## Human Review
AI output must be reviewed by a person before it is used externally or relied on for business decisions.
A person must approve:
- Customer-facing messages.
- Pricing, billing, refund, or contract language.
- Legal, medical, financial, insurance, employment, or safety-related content.
- Public marketing content.
- Any decision that affects a customer, employee, vendor, or business commitment.
## Accuracy
AI can be wrong. Team members must verify facts, dates, prices, policies, contact information, and claims before using AI-generated content.
## Transparency
We do not use AI to impersonate people or mislead customers. If AI use would be material to a customer, employee, vendor, or partner, we disclose it plainly.
## Ownership
[Owner/Manager] owns this policy and approves AI tools and workflows. Questions or exceptions should be sent to [Contact].
## Review Schedule
This policy will be reviewed every [90 days / 6 months] or when a new AI tool or workflow is introduced.

You want staff to understand that AI drafts, summarizes, organizes, and suggests. It does not own decisions, promises, or relationships.

That means no fake personal messages, fake testimonials, fake reviews, fake client stories, or chatbot behavior that pretends to be a specific employee when it is not.
